of Little Malvern Priory Parochial Church Council Annual Meeting 18th
May 2011 1. Attendance, apologies and opening remarks - See Annual Vestry Meeting. The AGM followed a short presentation by Roy Knightly about the Lyttleton Well Christian Outreach Centre 2. Minutes of the previous AGM held on 27th April 2010 were agreed 3.
Matters arising a) The Child Protection Policy is covered in the Churchwarden’s Reports b) Deanery Synod Representatives: Ann Whitty has been coming to PCC meetings and will be an additional representative. This is to be ratified later in the meeting c) New King James’ bibles have been placed in the pews, though the NIV version is still being researched by Lyttleton Well. Wendy Booth suggested that Parishioners might like to sponsor a bible, with a dedication. King James’ Bibles cost £10 and NIV bibles £15. A note on this is to be included in the next Pewsletter. Secretary’s note: subsequent to the meeting a donor very generously offered to fund all additional 10 bibles. No further action is required other than placing an order. 4.
Churchwardens - Bob
Steel’s full report is attached. The
quinquennial inspection made 30 recommendations.
RS has managed to reduce the estimated cost of works from £26,740 to
under £10,000 by asking for quotes and omitting some items which were
impractical. It has not proved possible to work out how to repaint the ceiling.
However an improved solution for re-roofing the kitchen annex has been
found. John Chatten’s report is also attached. (a) JC has taken over the Child Protection duties from Jocelyn Bailey, and this will soon be formalised. Questions over who needs CRB checks and reporting guidelines have been settled. (b) The new Church sign is now in place, at a total cost of £l,071, funded by Mrs Dore via the Friends of LMP. (c) A budget of £2,000 has been approved to install a new heater, air vents and plumbing etc. in the toilet. Work was delayed as a faculty was needed but the process is now nearly finished. The Chairman and Alistair Booth both expressed many thanks for the Churchwarden’s efficiency and hard work in keeping costs down. 5.
Annual Report and Accounts – This was circulated and is
attached. Peter Williams thanked the
previous Treasurer, Bernard Pierce. PW
has bought a dedicated computer package for church accounts.
This year’s balance is very similar to 2010, with just under 6
months’ reserves at £20,000. Dorothy
Devlin is helping with finalising the new format.
The congregation contribute two thirds of income and additional help
comes from the Friends of LMP and other sources. It was agreed that the Annual
Report (including the year’s accounts) be accepted subject to Certification by
Dorothy Devlin (Prop. Roger Johnson, Sec. Bob Steel).
The Chairman thanked PW for all his work and would call an extraordinary
PCC meeting to discuss finalising the accounts if necessary. 6.
Electoral Roll Ramon Wyre said 140+ forms were taken but only
91 (down from 108) have so far been returned.
8 are Parish residents. Alistair
Booth commented that the delay in response could be because the standard forms
were confusing and the Chairman was sure not all were in. 7.
Chaplain’s Report: The
Annual Report (as above) gives a review of the Church activities during the
year. A summary of the results of the 2010 Review (held in Welland) is in the
Porch. On 7th July the
PCC is meeting to discuss more of
the recommendations. Actions already
taken include visits by requested
speakers, some participating in the 2011 Lent Talks, and also the introduction
of occasional Evensong services. The
Churchwardens had received a good report from the Archdeacon. 8.
Churches Together: Roy Knightly has already described the work
of Lyttleton Well, including the activities of Churches Together in Malvern.
Roger Johnson and Margaret Bryer are the LMP representatives.
Dorothy Knight’s report, attached, includes a list of activities such
as the Alleluia Beetle Drive, Help for the Lonely, Fairtrade fortnight,
Chernobyl children’s visit, and Unity Week. It was agreed that Margaret Bryer
and Roger Johnson should continue to represent LMP at Churches Together in
Malvern (Prop. Bob Steel, Sec. Ramon Wyre) 9.
Friends of Little Malvern Priory The Chairman thanked the
Friends for their support, which enables the Church to widen its horizons to
Long Lartin Prison, Sherrard’s Green Church and the Agricultural Chaplaincy
(CARL). Arrangements for a visit to Tewkesbury Abbey for an organ recital, meal
and Compline would mean leaving LMP at 5.30p.m. for a 10.00p.m. finish.
It might be possible to attend part of the evening.
Notices about this and the Three Choirs Festival are to be placed in the
Porch. An idea for 2012 is a visit
from the Lord Lieutenant, Michael Brinton as the Queen’s representative in
Worcestershire. The Chairman
encouraged anyone who was not already a member to give it serious consideration.
Joining the Friends costs as little as £5.00 p.a. Sir
Nigel Nicholls, who is the Treasurer has a ready supply of Forms. Their
AGM was on 17th May in LMP. 10.
Mission Support LMP has had two visits from the Revd. Jeffrey
Hayward, the Long Lartin Prison Chaplain, who is about to retire.
CARL has no Chaplain at present. Alistair
and Wendy Booth are on the Rural Stress Network team.
The Chairman is representing CARL with the Church Tent at the Three
Counties Show (Theme “Marriage”). Claire Griffiths, the Vicar at St.
Mary’s, Sherrard’s Green has also visited LMP and given a very comprehensive
talk on her work. 11.
Publicity – Alistair Booth’s report is attached.
The questions are - do we need to extend our publicity/communication
lines, internally and externally, and if so how?
A leaflet for the Malvern Information Office etc. is proposed, and,
internally, a newssheet between Pewsletters.
A new red notice board in the Porch now highlights latest news.
Roger Johnson suggested a regular bulletin in the “You Report”
section of the Malvern Gazette. The
LMP website caters for those with computers but an internal weekly bulletin in
some form would be useful. Valerie Knowles will put a request for an Information
Officer in the Pewsletter. She also
suggested people should take old copies into doctors’ surgeries etc., and Ann
Whitty asked for a mention of the LMP website in the Pewsletter.
The Chairman recommended AB’s Report should act as a basis for action.

Honorary Examiner Dorothy Devlin should be asked to continue
(Prop. Sue Johnson, Sec. Wendy Booth, all agreed).
The meeting expressed its gratitude for the work DD does in examining our
accounts. 13.
PCC Derek Webb is standing down as Secretary, to be replaced
by Phyllida Lewis-Bowen (Prop Valerie Knowles, Sec. John Chatten, all agreed).
Others were re-elected en bloc (Prop Ann Whitty, Sec. Roger Johnson, all
agreed) 14.
